- Provides administrative support to Division Head and ensures the implementation of hotel policies, standards, and procedures as they apply to the administrative functions.
- Locates and attaches appropriate file correspondence to be answered by Division Head.
- Type, file, and upkeep of all private and confidential matters related to the department.
- Set up a systematic and efficient filing system, both for hard files as well as all electronic data, that enables quick retrieval. Ensure all files are kept up to date at all times.
- Prepare the relevant materials for all meetings attended by the Division Head: Daily Operations Meeting, Leadership Committee Meetings, Departmental Meetings and ad hoc meetings.
- Answers telephone and give information to callers or routes call to appropriate official and places outgoing calls.
- Greets visitors, ascertains nature of business, and conducts visitors to employer or appropriate person.
- Makes copies of correspondence or other printed matter.
- Prepares outgoing mails.
- To prepare the monthly mailing record by department.
- To maintain all office tools and machines.
- Type, take dictation and minutes, draft letters, file and trace, compose correspondence.
- Monitors and maintains the proper appearance of the F&B office area.
- Deliver, pick up, and distribute all inter departmental correspondence.
- Handles outgoing mails by courier.
- In charge of programming all POS systems for all Revenue Center.
- Generates sales reports as requested by DOFB.
- In charge of in-house Menu printing.
- Assists in the preparation of the Annual Business Plan.
- Ensures that minimum brand standards have been implemented and reports discrepancies.
- Embraces all Touches of Hyatt and the Food and Beverage Top 20.
- Prepares responses to results of Consumer Audits and tracks relevant changes to be implemented.
- Works closely with other employees in a supportive and flexible manner, focusing on the overall success of the hotel and the satisfaction of hotel guests.
- Works in a supportive and flexible manner with other departments, in a spirit of “We work through Teams”.
- Ensures new technology and equipment are embraced, improving productivity whilst taking work out of the system.
- To be flexible in your job function and perform any other reasonable duties and responsibilities which may be assigned to you, including redeployment to other departments/areas if required, in order to meet business demands and guest service needs.
- Indonesian Nationality with a degree in Hospitality or Business Management
- Has minimum 1 (One) year experience in a similar position in 5 (five) stars International Hotel Chain
- Previous experience in Luxury Hotel or international experience are advantages
- Strong in leadership and business acumen
- Excellent English communication skills, strong guest service mindset and people management & development skills
