About the Project
partners with cities in Indonesia to build sustainable, low-cost waste systems in Indonesia that capture as much value from the waste as possible. The many existing local initiatives and informal waste pickers are supported and integrated into the business model. It includes investment, technical expertise for waste system design, project management, skills transfer, behaviour change, and recycling/reprocessing valorisation. Project STOP does not own the waste nor operate a collection, sortation, recycling, treatment, or landfill business. All profits from the sale of recyclables and organics are kept by the local community and used to cover collection and sortation worker salaries and operating costs of the waste system.
The project is one of Systemiq's largest, long-standing, and most impactful projects. As of March 2022, it has stopped over 20,000 tonnes of environmental leakage, created over 200 jobs, and provided sustainable waste management services to over 250,000 people in Indonesia.

We have an incredible opportunity to join our STOP team, which ensures compliance with contractual requirements on due diligence, financial management, expenditure, and procurement. You will deliver high-quality management and oversight of several workstreams supported by grants and funding agreements from government, philanthropy, and corporate funding sources. You will work closely with STOP project senior management, the project delivery team, SYSTEMIQ's global grant team, the finance team, the projects control team, and the legal team during the entire lifecycle of several STOP Project workstreams.
Primary Responsibilities
From day one, you'll hit the ground running as the Grants Manager for STOP:
Overseeing large-scale tendering and procurement processes for the supply of goods and services, ensuring compliance with the funder, company, delivery partner, and legislative requirements
Management and monitoring of the financial health of several workstreams of the STOP project that are supported by different funders and have different requirements and financial management models and lead on financial reporting, budgeting, and auditing
Relationship management with funders, delivery partners, subcontractors, and senior internal management
Identifying, minimising, mitigating, managing and managing financial, procurement and delivery risks
Project Preparation:
Develop STOP project budgets and financial plans for project funding proposals, ensuring compliance with company practice and client's financial control requirements
Support due diligence processes and funder/supplier registrations
Provide pipeline and proposal information to Systemiq's projects control team as required
Project Delivery:
Ensure the project's financial requirements are adhered to in relation to company policy, funder requirements, and applicable laws and regulations
Ensure compliance with company and funder procurement rules, and oversee large-scale procurement and tender processes for goods and services
Support downstream subcontracting with consultants and suppliers of goods and services
Manage downstream sub-granting as required as part of the project delivery plan
Lead STOP project audits, including sample data, fieldwork, and auditor communications
Liaise with the STOP project team and Systemiq's accounts payable team to raise purchase orders and to approve and monitor project expenses
Implement the project's financial management tool to forecast accurately and budget expenditure across all STOP project workstreams monthly

Prepare internal financial status reports for the company as required
Prepare external financial, budgetary, and accounting reports to clients, funders, and partners as required
Liaise with the STOP project Operations Manager and Systemiq's projects control team to prepare invoices and confirm receipt of funds
Liaise with Systemiq's projects control team to set up new project finances and close finances of completed projects in accordance with the company's existing systems
Liaise with Systemiq Legal team and grants team to ensure the project team are aware of contractual requirements for project delivery
Support the development and delivery of training on grants management and compliance to the Project team and company as required

Essential Qualifications and Experience
At 3 years+ experience within a project financial management function in a grant's context, working on projects funded by governments, multilateral or philanthropy
At least 2 years+ experience in leading processes on grants budgeting, reconciliation, reporting, and procurement
At least 2 years+ experience in grants budgeting; expenditure forecasting, monitoring, and reconciliation; financial reporting; grants projects audits.
Fluent verbal and written English is essential
Intermediate to advanced Microsoft Excel skills, with excellent attention to detail
Experience in developing and maintaining training guides and resources for grants teams
Ability to maintain a high level of accuracy across complex budgets and expenditure records, with strong process orientation and excellent attention to detail
Ability to translate contractual and compliance requirements into concise, accessible, and practical guidance and tools that the project delivery team can implement
Ability to communicate complex financial information to colleagues and external stakeholders in a patient and concise manner
Interest in working on project financial management for projects funded by non-commercial clients and on projects with restricted and unrestricted funding
