Assistant Facilities Manager

Work Dynamics - Integrated Facilities Management
  • Supervise, coordinate, direct and, where appropriate, undertake all building and facilities maintenance for properties owned, leased, and/or managed by JLL.
  • Procure, to the extent not undertaken by external consultants, all necessary planning, building, or other permits or licenses to enable building structural works to be undertaken.
  • Prepare, or arrange for the preparation of, all reports, drawings, and specifications for the construction or modification of any buildings.
  • Perform construction administration and inspection during the construction of works to ensure work satisfies contracted standards.
  • Liaise with local and statutory authorities to ensure completion and approval of all works undertaken.
  • Provide overall direction and management of maintenance employees and contractors to ensure:
  • all routine structural, mechanical, and electrical maintenance of property, plant and equipment is undertaken in a timely, cost-effective manner;
  • appropriate inventories of structural, mechanical, and electrical spare parts are maintained;
  • continuing safe utility supply, including ensuring appropriate risk management strategies are in place should there be unplanned disruption to utility services; and
  • timely assistance is provided to tenants for maintenance issues that arise that are the responsibility of the Company and/or Affiliates under lease agreements.
  • Provide leadership and guidance to maintenance employees and contractors to maintain quality, efficiency, and productivity.
  • Liaise with finance and administration employees in respect to all purchases under the purview of the Facilities manager and ensure the appropriateness of all purchases.
  • Contribute to developing procedures, policies, and controls to assist in the achievement of the company objectives.
  • Review and evaluate maintenance work undertaken by maintenance employees and contractors and appraise the activities according to strategies and objectives, set performance standards and targets for approval by the Company, and monitor and evaluate performance to same.
  • Organise, monitor, and control the flow of work of maintenance employees and contractors to ensure work is completed on time, in accordance with schedules, and within budgeted input targets.
  • Supervise work undertaken by trade personnel in specialized areas, as investigation, design, project and development work.
  • Contribute to maintaining and enhancing effective communications systems within the Company to ensure responsive and efficient provision of services.
  • Prepare, as requested by the Company, Gantt charts of capital and maintenance projects.As requested by the Company:
  • Participate in and contribute to special projects (e.g. acquisition of property, environmental remediation);
  • Estimate time and cost of projects;
  • Prepare, the scope of works as a basis for quotes or tenders
  • Participate in the implementation of special projects.
  • Ensure health and safety issues and requirements are met.
  • Be responsible to ensure timely reporting of all accidents and incidents and establish procedures, policies, and controls to ensure minimisation of the number and severity of accidents and incidents.
  • Ensure all trade personnel are properly trained and instructed in safe operating procedures.
