Job Description

What you will do

Implement the Procurement process end to end using the application process, and maintain data related to Procurement, including conducting discussions with users, negotiating prices, and obtaining maximum procurement process results.

Main Responsibility
  • Assist the Procurement Manager in executing the procurement process in accordance with Company’s procurement procedures and policies so that each result of the procurement process can be accounted for (procurement process will include Reviewing, evaluating, comparing, analyzing, clarifying, and negotiating in each procurement process so that the result is in line with user needs)
  • Act as the documentation specialist to record and archive all sourcing activities and their required supporting documents.
  • Support users in the preparation of RFI (Request for Information) and RFQ (Request for Quotation) or RFP (Request for Proposal) on the procurement process
  • Liaise with users to provide alternative vendors for the sourcing process.
  • Vendor Management: working together with the Procurement manager in establishing Vendor Database
  • Vendor Management: maintain and ensure timely updates of Vendor database
  • Vendor Management: based on the vendor database, prepare a preferred vendor list for routine purchases.
  • Vendor Management: ensure submission of all admin documents and data required for the Vendor onboarding process
  • Vendor Contract Monitoring: establish and maintain timely updates of Vendor Contract Database (must include at least information on vendor name, type of service, pricing, contract period, start date, and end date)
  • Vendor Contract Monitoring: timely monitor vendor contracts and coordinate with users on the action plan for the needs of a contract extension.
  • Coordinate and maintain good relationships with vendors and internal ALTO teams.
  • Provide analysis and recommendations to superiors regarding the implementation of the procurement process so that continuous improvements can be made.
What you'll need to have

Requirements
  • Bachelor's degree Min S1 Technology/Finance/Accounting/Business/Management, or related field
  • At least 4 years of procurement experience, especially on technology sourcing activities (can be from user, procurement or vendor sides)
  • Proven track record in supplier negotiation and driving cost reduction through various levels
