TITLE: External Collaborator for EForm Enhancement & BumiKita App Maintenance

BACKGROUND:

Since the beginning of the Covid 19 pandemic IT services has gradually transformed its systems from the conventional physical based servers to serverless type model with migrating all services to cloud services. The development has significantly changed our way of working with digital technology innovations and challenges us to increase efficiency which is key for high-performing businesses. SC Indonesia recognizes the need to align its IT systems and infrastructure to improve on the efficiency of its operations management and internal processes. As such, SC Indonesia is embarking on a transformation process to automate its functions by putting in place systems to aid its work processes.

Inconvenient as they are, forms, from finance vouchers to travel requests, are unavoidable and abundant. It typically requires approvals where one or more supervisors may comment and sign, and processing where the completed data fields are entered into an electronic database. Automated form processing is much more efficient and has significant advantages over manual processing. It streamlines tasks, saving staff time and reducing errors. To this end the organization seeks a consultant to evaluate current workflows and transform manual forms into an online automated process using the current SCI systems and tools in place.

OBJECTIVES:

The objective of this consultancy is to enhance online automation forms particularly for interfacing with Banking System & Accounting System, design online payment tracker, design online TOR, maintaining & training BumiKita apps, and as IT support in Humanitarian’s trainings

DELIVERABLES:

The Consultant will be guided by Finance and IT department with the key Deliverables of the assignment as follow: * Interface Online Finance Form with Banking System
  • Interface Online Finance Form with Accounting System
  • Set up multi approver functionality in the Online Finance Form
  • Set up simplification for data uploader in Online Finance Form
  • TAR forms available online and integrated within Save the Children Indonesia SharePoint site.
  • Update eForm guideline with new additional functionalities and new update
  • Design online Payment Tracker in the share points which integrated with E Form
  • Technical Support for BumiKita maintenance including communication with Developer of BumiKita Apps
  • Training for BumiKita Apps
  • IT Support for any training under Humanitarian
SCOPE OF WORK:

The selected consultant agrees to do works as follow: * Discuss with Finance Team and IT to create consultancy detail plan related to enhance the Automated Forms development.
  • Evaluate current workflow and approval process for each form.
  • Design the form layout according to the required fields.
  • Build database relationship and approval scheme with email notification at any part of the form as required.
  • Develop improvements/additional features of the automated form using the available tools and according to the business process.
  • Create Bank Transfer File aligned with SCB format
  • Create journal voucher (GLACOS) template to be uploaded to Agresso
  • Integrate the automated form app into the SharePoint site.
  • Revise and finalize the application according to feedbacks.
  • Update guideline (work instruction) how to use the Automated Forms App.
  • Train Save The Children key users on how to use the Automated Form App.
  • Technical Support Automated Form App after Go-Live for 3 months
  • Manage and maintain the database applications (BUMIKITA and Interactive Web-based Learning) in a regular basis according, including monitor users progress through web-admin pages for 6 months (up to end Sep 2022)
  • Facilitate ToF/T of BUMIKITA and Interactive Web-based Learning.
  • Reporting the results of BUMIKITA & Interactive Web-based Learning utilization to support EiE activities.
QUALIFICATIONS AND EXPERIENCE:

Essential: * Has degree or qualifications in computer sciences, IT, or related field.
  • At least three years of experience in application/database development and maintenance using Microsoft Products.
  • Ability to train and support staff to maintain and optimize data management.
  • Skilled user of Structured Query Language (SQL), and other high end database management suites
  • Perform detail-oriented and self-motivated works.
  • Perform positive attitude, team player, able to work directly with clients and able to work in difficult and challenging environments.
  • Ability to design the structure of the database and write appropriate interfaces (e.g., PowerApps, MS Flow, Office 365) for data entry and ensure data quality and security.
  • Experience in training project personnel in the use of web development software applications
  • Ability to perform maturity and professional ability to handle sensitive information and ability to respect the confidentiality of such information while working with SC after the contract ends.
  • Able to communicate effectively in English.
  • Previous experience working with an INGO and familiar with SCI IT systems environment is an advantage.
